Position Summary:
We have an exciting opportunity to join our team as a Senior Program Coordinator. The Senior Program Coordinator is responsible for the organization, coordination, and development of multiple admissions and financial aid recruitment and retention projects focused on marketing and communications efforts for applicants. The position requires the ability to function independently, manage multiple projects concurrently, assume responsibility for their daily management, and be prepared to gather information or data quickly and effectively. This position reports directly to the Assistant Director of Admissions.

Job Responsibilities:

Initiates and manages digital and printed marketing materials and presentations. Helps craft messaging and develops creative visual assets for digital and printed collateral. a. Coordinates efforts between EFAA offices and the marketing and communications office to create cohesive and accurate materials. b. Manages the production of marketing materials, which includes editing brochures to ensure proper grammar, language, punctuation, and overall accuracy, determining the appropriate order quantity, timeline, and liaising with our print shop. c. Ensures all collateral distributed or presented meets the branding guidelines and is presented in a cohesive and organized manner.
Initiates and maintains social media presence to guide applicants on the admissions and financial aid process while promoting the institution and medical school.
Develops strategies and tactics for all of the Office of Admissions & Financial Aid in person communications and recruitment events. These include but are not limited to events for our interviewed and accepted students, campus visits, and our annual revisit event.
Collects, interprets, and analyzes data to inform marketing and communication strategies and efforts.
Provides support to the Assistant Director of Admissions and Associate Dean for Admissions and Financial Aid for any new and ongoing projects on a daily basis. Ensures the objectives and deadlines of all projects are clearly defined and met in a timely manner.
Proactively manages all aspects of projects including setting goals, assessing scope, preparing a project plan and timeline, and implementing recommendations.
Develops strategies and tactics for all of the Office of Admissions & Financial Aid web-based marketing and communication efforts such as social media, marketing outreach, NYUGSOM website updates/edits, and virtual recruitment events.
Oversees and coordinates all aspects of our annual Revisit event for accepted students from planning, coordinating and executing the entire schedule of events, timing, and budget.
Creates and develops a plan of action for undergraduate campus visits. Determines which universities to visit by evaluating application data over the years. a. Establish relationships with pre-medical and pre-health advisors from top tier universities and colleges and act as the first point of contact between advisors and NYU Grossman School of Medicine. b. Manage all interactions between NYUGSOM and undergraduate institutions including on-campus, off-site, and virtual visits.
Facilitates developing and maintaining ongoing recruitment and retention projects for the Office of Admissions and Financial Aid. Proactively monitor progress, resolving issues, and initiating appropriate corrective action when necessary.
Maintains and develops weekly metrics and key performance indicators for all major projects/efforts and provides detailed improvement plans and comprehensive reports based on our performance.
Identifies opportunities for improvement and new projects within Admissions and Financial Aid that align with the objectives of the office and the institution.
Works collaboratively with internal and external offices to help advance the strategy, goals, needs, and objectives of NYU Grossman School of Medicine and the Office of Admissions and Financial Aid.
Enhances department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
Assists team with any and all admissions and financial aid related workflows including interview day, admissions inbox emails, ambassador assistance, and planning.
Understanding of the medical school admissions and financial aid processes, requirements and creatively create new ideas to incorporate into our recruitment and retention strategies.
Updates job knowledge by participating in educational opportunities related to our education and marketing/communication efforts; maintain professional networks; participate in professional organizations. 
Accomplishes objectives for the Office of Admissions & Financial Aid by planning, evaluating, and facilitating projects from start to finish.
Coordinates and enforces systems, polices, procedures, and productivity standards.
Establishes strategic goals by gathering pertinent business and operational information.
Contributes to team effort by accomplishing related results as needed.

Minimum Qualifications:
To qualify you must have a Bachelor’s degree in business administration, health care administration or related field. Minimum of four years of progressively responsible related experience including program/project coordination or equivalent combination of education and experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, Power Point and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to multi task and project manage.
Preferred Qualifications:
Advanced Level degree (e.g. Masters) in Communications, Marketing, or related field. Admissions or Financial Aid related experience. Experience with strategic planning, development of creative initiatives and ideas, analyzing marketing data, vision, time management, close attention to detail and the ability to plan ahead, ability to work under pressure, strong interpersonal skills including excellent written and verbal communication.
The senior program coordinator should have strong project coordination skills, organization, motivation, and time management to complete projects. Advanced technology skills with the ability to quickly to learn new platforms as they are utilized. Proven ability to work on several projects simultaneously and under tight schedules. Ability to multi-task while paying attention to details. Excellent oral, written communication, and interpersonal skills. Strong quantitative/analytical skills. Ability to work independently, and prioritize tasks. The ability to contribute to a sense of community amongst the members of the team. Good knowledge of program and project management methods. The ability to find ways of solving or pre-empting problems. Advanced skills with Office Suite (Microsoft Excel, PowerPoint, Word, and Outlook). Proficiency with creative software platforms (e.g. video/photo editing platforms, digital content creation solutions, Adobe Suite).
